Terms and Definitions

The terms ‘We’, ‘Us’ ‘Our’ or ‘the University’ refer to the The RGU Foundation, and The Robert Gordon University (RGU).

The term ‘You’ refers to alumni, friends, partners and supporters of the University through The Foundation. The term ‘Marketing’ refers to any communication regarding the objectives or activities of the RGU Foundation.

‘RGU GOFUND’’ is The RGU Foundation’s crowdfunding platform, and is hosted through Hubbub (Sponsorcraft Ltd) under contract with The RGU Foundation.

The RGU Foundation is responsible for managing relationships with current supporters and potential supporters of RGU with the aim of raising philanthropic income to support the strategic ambitions of the University. Philanthropy and the generous support of those committed to RGU’s vision is critical to the success of the university. Our relationship with our alumni, friends and supporters and our respect for their privacy and data security is of great importance to the RGU Foundation.

This information specifically relates to personal data processed by the RGU Foundation in its work to build an engaged community of supporters. Data is processed on the basis of legitimate interest since we consider that there is a strong and legitimate interest in keeping up a relationship with alumni, friends and supporters of RGU for the benefits of fundraising and development activity to safeguard the future of Robert Gordon University.

The Data Controller is The RGU Foundation. The RGU Foundation is registered with the information commissioner’s office under the registration number is ZA003295.

RGU Alumni and supporter information is held on a database, the software for which is provided by Blackbaud inc. Blackbaud is a global non-profit Privacy shield certified software provider operating under a formal agreement with RGU. All data stored is held on secure servers, with access restricted to those authorised personnel who have a specific need to access the information. The information stored is believed to be factually correct, relevant to our work and not excessive.

Personal data held and processed by the RGU Foundation may include:

  • Contact details
  • Communication preferences
  • Educational qualification (s)
  • Biographical information
  • Donation history (gift amount, purpose, date, method of payment and gift aid declaration)
  • A record of interactions with the RGU Foundation and or RGU

‘Sensitive’ information, such as racial / ethnic origin, political beliefs, religious beliefs, trade union membership, physical / mental health condition, sexual orientation / activities, trade union membership. Commission or alleged commission of an offence and any proceedings related is not and will not be stored or retained.

Personal data may be used to support a range of activities for and in relation to our alumni friends and supporters. These include:

  • Providing information about t RGU and its activities. This might involve sending publications, e-newsletters, invitations to events and details of various volunteering opportunities.
  • Furthering our charitable objectives
  • Internal record keeping
  • Stewardship, reporting on the impact of a donation or volunteer support
  • Furthering our charitable objectives
  • Transfer to HM Revenue and customs in respect of Gift Aid claims
  • Supporting international alumni networks
  • Conducting surveys, focus groups and other research

RGU and the RGU Foundation considers its relationship with its alumni and supporters to be lifelong, and we will therefore maintain a database record for you indefinitely. However, you have the right to object to the use of your data for any of the above purposes, opt out of receiving particular types of communications from us and to have your personal details removed from the your record on the Raisers Edge database.

Your rights

Under the Data Protection Act 2018, you have a number of rights over your personal data and the way(s) in which we use it. These include:

  • The right to have inaccurate personal data rectified or erased;
  • The right to prevent your data being used for direct marketing;
  • The right to access a copy of the information we hold about you (known as a Subject Access Request).
